What counts as an automation run?
It's the one thing we meter, so here is exactly how it works.
One rule firing once
An automation runs when its trigger fires — a record changes state, a schedule ticks, someone presses a button, a webhook arrives. That's one run, whatever it does: setting fields, creating records, posting to Slack, sending mail.
Only runs that succeed
The counter increments after a run completes. A rule that errors doesn't spend your allowance — you're never billed for our failure, or for a misconfigured rule you're still debugging.
AI runs are never counted
Only non-AI runs touch this number. When an agent runs on your own Claude or ChatGPT, there is no code path from that run to the meter at all — the promise is structural, not a policy we remember to apply.
At the cap, nothing breaks
Reach the monthly allowance and further runs are skipped and logged as such, with the reason on the record's run history. No deletion, no lockout, no surprise invoice — the allowance resets with the month.
Self-hosted StoryOS counts nothing — there is no metering code path without billing configured, so no phone-home and no allowance.

Questions
What counts as an automation run?
One automation rule firing once — triggered by a record changing state, a schedule, a button press or an incoming webhook — regardless of how many actions it performs. Only runs that complete are counted, so a failing rule never spends your allowance. Runs that use AI are never counted at all. When you reach the monthly allowance further runs are skipped and logged with that reason; nothing is deleted and there is no overage charge. Self-hosted deployments count nothing.
How many workspaces do I get?
One workspace per account on Free, Pro and Business — a workspace holds unlimited databases, records and spaces, so it fits an entire company. Running several separate workspaces under one owner needs the multi-workspace account model, which is an Enterprise arrangement today.
Is the self-hosted version really free?
Yes. The whole product is AGPL-3.0 and free forever on your own infrastructure. Capability is never the thing we charge for — paid plans gate scale (members and automation volume), not features.
How does the trial work?
Every new workspace starts with 30 days of Pro — unlimited and with no card required. When it ends you land gracefully on Free; nothing is deleted and your data is never held hostage.
What happens if I cancel a paid plan, or a payment fails?
The same guarantee as the trial, not a smaller version of it: a canceled or past-due Pro or Business workspace lands on Free — nothing is deleted, every export stays open, and viewers keep working. Leaving a paid plan is never a hostage moment either.
What does AI cost?
If you connect your own Claude or ChatGPT over MCP, nothing — ever. We never meter or mark up your own AI, on any plan. If your team doesn’t have its own AI, the optional StoryOS AI add-on gives you hosted model access with prepaid credits priced near cost; it’s the only thing we ever bill AI for, and it requires a card.
Are there record limits?
No. Unlimited records on every plan, including Free. We will never cap how much data you can put in — the automation-run allowance is the only volume dimension, and it only counts non-AI automation runs.
Who counts as a paid member?
Only people who create and edit. A guest invited as a viewer or commenter is always free, on every plan — share a workspace with clients or the whole company at no cost. A guest given contributor access or higher (so they can create records, not just see or comment on them) counts as a seat, same as a member.
Can I move between self-host and the hosted plans?
Yes — it’s the same product and the same data model. Export from one, import to the other over the API.
